In short
Contract logistics, head office in Rotterdam. 25 depots in the Netherlands, Belgium and Germany, about 2,900 people. Signed on 12 June 2026. Goes live on Monday 2 November. Region: EU (Frankfurt).
People sign in with Kelderby's Entra ID, switched on depot by depot. Agency drivers, who have no Kelderby account, sign in with phone codes. Depot managers approve their own depot's people (ACM-247, live since 1 October).
Contacts
| Who | Role | Notes |
|---|---|---|
| Priti Shah | Head of IT | Keeps the depot list and runs the go-live on Kelderby's side. Ana's main contact; weekly call on Tuesdays at 10:00. |
| Henrik Lund | IT lead, identity | Kelderby's Entra ID administrator. Sets up each depot's enterprise app and groups, uploads the SAML metadata, flips the depot switches. |
| Sanne Bech | Operations director | Signs off each single sign-on weekend and the go-live. |
| Ruth | Depot manager, Rotterdam | First pilot depot. Approver for Rotterdam since 6 October. |
| Depot managers | One per depot | Names in the depot list. No deputies. |
Depots
The first seven are the pilot. Each switches to single sign-on on a Saturday before go-live; see the Kelderby rollout plan.
| Depot | Country | People | Single sign-on |
|---|---|---|---|
| Rotterdam | Netherlands | 140 | Since Sat 24 Oct |
| Antwerp | Belgium | 95 | Since Sat 24 Oct |
| Ghent | Belgium | 75 | Since Sat 24 Oct |
| Duisburg | Germany | 85 | Sat 31 Oct |
| Venlo | Netherlands | 70 | Sat 31 Oct |
| Liège | Belgium | 80 | Sat 31 Oct |
| Breda | Netherlands | 65 | Sat 31 Oct |
| 18 more | Netherlands, Belgium, Germany | about 2,290 | Before Christmas, with ACM-293 |
Sign-in setup
- Entra ID over SAML. Today each depot has its own certificate and sign-in address in identity-service, so Henrik keeps one enterprise app per depot in Entra ID. ACM-293 gives a client one setup for every depot; it is in delivery since 20 October.
- Groups are named per depot:
KEL-Rotterdam-Users,KEL-Rotterdam-Managers, and so on; Ghent and Liège use Kelderby's Dutch names,KEL-Gent-UsersandKEL-Luik-Users, since 14 August (the oldKEL-Ghent-UsersandKEL-Liege-Usersstill exist). Roles come from the groups at every sign-in. - Depot approver assignments are made in the portal, not from groups. Sign-in leaves portal-made assignments alone, so a depot manager keeps their depot after signing in with Entra ID (checked with Ruth on 24 October).
- Henrik uploads each depot's metadata in the portal with SAML metadata upload. The first upload, for Rotterdam, failed its test sign-in because the file was for the test tenant (SUP-1116, fixed the next day).
- People were imported from Kelderby's HR export on 5 October: 2,870 people with their home depot. See Preparing a people import file.
What Kelderby asked, and where it went
| When | Ask | Where it went |
|---|---|---|
| 23 Jun | Go-live on 2 November, proposed by Sanne Bech at the kickoff; firm once the works councils agreed | Kelderby go-live plan |
| 18 Aug | Single sign-on before go-live, not everyone at once | ACM-214, then the rollout plan: two weekends |
| 25 Aug | Depot managers approve their own people | ACM-231, then ACM-247, live 1 October |
| 7 Oct | Approve agency drivers for one shift | SUP-1207, ACM-306; the initiative "One-shift access for agency drivers" is being shaped |
| 9 Oct | Switch the last 18 depots together, after go-live | ACM-323, merged into ACM-293 on 19 October |
| 20 Oct | Depot list and test accounts sent | SUP-1254 |
Open
- Cover while a depot manager is away. Kelderby's list names one manager per depot and no deputies. Until it names some, Kelderby's two administrators check All requests every morning. Requests nobody decides close after 14 days, and nobody is told; Ana told Priti on 13 October.
- Agency drivers. Approved access stays until a manager or administrator removes it. Rotterdam removes it by hand after each shift for now.
- Duplicates after first sign-in. Nine people ended up with two records on the first pilot weekend. Merged; the cause is in the pilot weekend notes.
History
- 12 June: signed (David, Ana). Three-year contract, 25 depots.
- July: organisation set up in the EU region; 25 depots created by hand.
- 1 October: depot approvers live. Kelderby's administrators set the 25 depot managers as approvers for their depots, 6 October to 9 October.
- 16 October: Kelderby's notices go through our EU mail account, like every EU client's.
- 24 October: Rotterdam, Antwerp and Ghent on single sign-on.
