Northgate: team leads ask for access exports
Description
Hello,
putting this into your support desk as Ben suggested, so it's tracked. Our note to Ben of 3 October is below.
Our team leads (14 of them, across our 12 sites) need to export who in their team can open what, once a quarter, for our access audit. Today Daniel, our administrator, prints each site's Access report as a PDF, and the team leads retype their people into our spreadsheet.
What the auditors want, per team:
- one row per person
- what the person can open (sites, doors, systems)
- the role that gives them that access
As a spreadsheet please, not a PDF: the auditors sort and filter the file.
Our Q4 audit runs through November. Team leads hand in their files during the month, and the auditors sit with us on Friday 4 December. We'd like your answer by 20 October, so we know whether to plan the manual route again.
Our note of 3 October: "Ben, before the next audit: can team leads get their own team's access as a spreadsheet? The PDF is no use to the auditors, they sort and filter everything."

Ana started ACM-290 this afternoon from ACM-281: team managers export their team's access.
Hi Rachel, thanks, this is clear. Two quick questions so we answer the right thing:
- Is a CSV file fine for the auditors, or do they need Excel (.xlsx)?
- If someone left a team during the quarter, should they appear in that team lead's file?
CSV is fine, they open it in Excel anyway. Leavers: yes, anyone who was in the team at any point in the quarter, with the date they left. And if a firm date for the export is all you can give by 20 October, that's OK, as long as it's before mid-November.
Hi Rachel, as promised. Team leads exporting their own team's access isn't in the portal today, and neither is a spreadsheet of the Access report. We've written the plan for both: a file per team, one row per person with what they can open and the role behind it, leavers included. It goes to our product lead for a decision this week; I won't give you a date until it's approved.
If it isn't ready by mid-November, our support team will prepare the 14 team files for you, so the audit isn't at risk either way.
Thanks Ben, that works. Keep us posted.
ACM-290 published today, waiting for Lena's approval.
Renamed and assigned to Ben. Ana's topic ACM-281 has the question. Last quarter this took Daniel about 45 minutes per team lead, plus two days of retyping for the team leads (SUP-1135).
